Swpe Stores

An employee swag store your company funds

Give every employee a budget for the year. They sign in to your own branded store, choose what they actually want in their own size, and have it delivered to their door. You are invoiced for what gets redeemed, on one GST invoice.

Produced and warehoused in India, so orders for your India team are a domestic delivery to 21,000+ pincodes rather than an import, and your overseas employees ship from the same store.

How a funded swag budget works

The model American companies already run, operated from inside India. Four steps, and HR does none of the collecting.

1

You set a budget per employee

Pick one figure for everyone, or different figures by grade, tenure or location. A common starting point is $100 to $150 a year, and you can top it up for a new joiner or a milestone.

2

Employees spend it in your store

They sign in with their work email, see your catalogue at your branding, and choose what they actually want. No HR spreadsheet, no one-size gift, no chasing sizes over email.

3

We produce, hold and ship

We carry the stock, pick and pack each order and deliver to 21,000+ Indian pincodes, to the office or to a home address. Overseas teams are shipped too.

4

You get one invoice

The company is billed for what employees actually redeemed, on a GST-compliant invoice, with a report of who ordered what. Unspent budget is not billed.

Why shipping swag into India is the hard part

Not our claim. This is what the American swag platforms publish in their own shipping documentation. Producing inside India removes the customs step rather than just the freight bill.

A Know Your Customer form is required by the Indian government for every imported shipment, and each one needs the recipient’s tax ID or passport number. A hoodie for 200 employees is 200 forms.

On the lowest-cost international tier, delivery is quoted at 8 to 10 weeks, and tracking stops at the last city in the United States before the parcel is handed to the local post office.

International shipping is priced from $45 per single pack, before duty.

SwagUp pricing

India applies no de minimis threshold, so a single item in a mailer attracts duty and tax on arrival, and clearance adds 2 to 10 business days.

Several US platforms do warehouse in India and serve it well. The point is not that it cannot be done from abroad, it is what the import route asks of your HR team every time a box moves.

What Swpe Stores runs for you

Your store, your branding

A storefront on your own subdomain with your logo, colours and tone. Employees see your company, not a marketplace.

A catalogue you approve

Apparel, drinkware, bags, desk and tech, built to your brand standards and refreshed by season. You sign off the range before it goes live.

Credits, self-pay, or both

Run the store purely on company-funded credits, let employees pay for extras themselves, or split the two on the same order.

Sizes and addresses handled

Employees enter their own size and delivery address. HR never collects either, which is the part that usually kills a merch programme.

Stock we own, not you

We forecast against real redemption and hold the inventory. There are no leftover cartons in an office storeroom at the end of the year.

Reporting that finance accepts

Redemption by team, by location and by period, reconciled against one GST invoice per cycle.

How much should you fund? What the benchmarks really say

Every platform quotes a per-employee benchmark. We went looking for the survey behind it and could not find one, so here is what is actually published and what is not.

There is no published survey of per-employee annual swag budgets

The figures in circulation, $150 to $250 a year and its variants, trace back through vendor blogs to other vendor blogs. Compt links the phrase “industry benchmarks” to a merch vendor’s own post. No promotional-products industry body publishes a per-employee annual figure. Anyone quoting one at you, us included, would be quoting folklore.

What is measured: 77% of employees would rather choose

A 2026 study of 2,500 full-time employees at organisations of 250 people and up found 44.2% received no branded welcome kit when they joined, 69.5% said their last branded item missed their preferences, 14.0% donated or binned it, and 77.0% would prefer to select from curated options themselves. That last figure is the whole argument for a funded store over a shipped box.

UK gifting budgets, the one transparent distribution

A survey of 85 HR professionals across 80-plus UK organisations put 52.9% of annual per-employee gifting budgets between £50 and £200, 23.5% under £50 and about 20.6% between £200 and £500. Small sample, vendor-run, and open about both, which is more than the American numbers manage.

Shipping one pack internationally is priced from $45

SwagUp, the one US platform still publishing a full rate card, lists international shipping for a single pack at $45.00 on its free tier, falling to $40.50 at $800 a month, and $55.00 for premium delivery zones. Duty is on top, and India’s is 53.60% of CIF on the gift route.

Frequently asked questions

What is an employee swag store?+

An employee swag store is a company-branded online shop where your own people get your branded merchandise. On Swpe Stores the company funds each employee with a budget for the year, and the employee spends it in the store on the items they want, in their size, delivered to their address. It replaces the annual one-size gift with something people choose, and it runs all twelve months rather than once at Diwali or year end.

How do employee swag credits work?+

You set an amount per employee, say $150 for the year. Every employee sees that balance when they sign in and spends it against the catalogue whenever they like, in one go or across several orders. You can fund everyone equally, vary the amount by grade or tenure, or add a one-off top-up for a new joiner or a work anniversary. The company is invoiced for what is actually redeemed, so budget nobody spends is not billed.

We are a US company with a team in India. Can you serve both?+

Yes, and the India side is the harder half. We produce and warehouse in India, so orders for your India-based employees are a domestic delivery to any of 21,000+ pincodes rather than an import. Your overseas employees are shipped from the same store on the same budget, so one programme covers the whole company. Adalwin Commerce is an Indian company, based in Pune since 2014, and bills on a GST-compliant invoice that your India entity can book.

Why not just ship swag from the United States to our India team?+

You can, but the mechanics are the problem rather than the price. Importing goods into India as gifts is prohibited outright under DGFT Notification 35/2015-2020; on the full-duty route Chennai Customs puts the bill at 53.60% of CIF value, and the consignee, meaning your employee, is the one billed. The employee also personally files Know Your Customer documents and a Power of Attorney with the carrier, which SwagUp’s own support page confirms, warning that a shipment delayed for want of them will be abandoned by Indian customs. Producing inside India removes the customs step entirely, not just the freight cost. We have set the whole chain out, with the documents, on a separate page.

What does it cost to set up?+

A one-time setup charge of ₹49,999, exclusive of GST, for the store. After that you pay for the merchandise your employees redeem and nothing else: no annual licence, no per-employee fee and no revenue share. Physical on-campus stores are quoted separately because the fit-out depends on the space.

What happens to budget an employee does not spend?+

Nothing is billed for it. You are invoiced on redemption, not on allocation, so an unspent balance costs you nothing. You decide whether a balance carries into the next cycle or resets, and we set the store to match your policy.

Can employees pay for items above their budget?+

Yes. An employee can put the difference on their own card and take something above their balance, on the same order. Many companies use this deliberately: the funded budget covers the core piece and self-purchase carries the rest, which is also the point at which people start buying the logo because they want it.

How long does it take to go live?+

Three to four weeks from an approved range in the normal case: range selection and sampling, storefront build and branding, then a pilot with one team before the company-wide launch. A store that reuses an existing approved catalogue can open faster.
