Two MacBook rental quotes with the same monthly rent can be a lakh apart by the end of the term. The difference sits in the lines most people skim: the device, the term, the deposit, damage and loss, and what happens when someone leaves. These are the ten lines to check.
The ten lines
| Line | What to ask | Why it matters |
|---|---|---|
| 1. The device | Chip, memory, storage, model year, new or refurbished | The same name can be a 2017 Intel Mac or a current M5 |
| 2. The term | Which term the rent applies to, and the rate for others | A "from" price may be for the longest term only |
| 3. GST | Included or extra, invoiced monthly to your GSTIN | 18% either way; credit needs a correct invoice |
| 4. Deposit | Amount, refundable when, what can be deducted | Money held for the whole term has a cost |
| 5. Accidental damage | Who pays, and how much per repair | Drops and spills are the common claim |
| 6. Loss and theft | How a lost or stolen device is charged | Usually not covered by the manufacturer's plan |
| 7. Delivery and setup | Charges, and enrolment in your device management | Hidden setup work lands on your IT team |
| 8. Exits mid-term | Collection from homes, swap to a new joiner | Remote teams leave from everywhere |
| 9. End of term | Renew, upgrade or return; who wipes the data | Decided now, not in month 35 |
| 10. Invoicing | Monthly in advance, one or several GSTINs | Finance needs it to match your books |
The three lines people miss
Loss and theft. AppleCare+ for Mac in India does not cover a lost or stolen Mac: Apple's India terms exclude it. So whatever cover a quote mentions, ask in writing how a lost device is charged. A laptop left in a cab should not be a surprise invoice.
Accidental damage fees. Apple charges a service fee for each accidental damage repair under AppleCare+: on most Macs in India, ₹8,900 for screen or enclosure damage and ₹25,900 for other accidental damage, according to Apple's fees page, and Apple's India terms say the fees include taxes. Ask who pays that fee on a rented Mac.
Exits. For a remote team, a leaver's Mac is in their home, not in your office. Ask whether the rental company collects it from anywhere in India and moves it to the next hire, and whether the rent keeps running while it is in transit.
Put every quote on one line
Compare the total, not the monthly figure. For each quote, work out the rent for the full term, the deposit you will hold, the fees you expect, and the cost of the work the quote leaves with your team. GST is recovered as input credit, so leave it out of the comparison unless one supplier cannot give you a valid GST invoice.
For our MacBook Air 13-inch M5 with 16GB and 512GB: ₹6,746 a month plus GST for 36 months is ₹2,42,856 in rent, with a refundable deposit of ₹22,485. Delivery, enrolment in your Apple Business Manager and collection when someone leaves are part of the rent.

Questions
What should a MacBook rental quote include?
The exact device and its condition, the term the rent applies to, GST, the deposit and its refund terms, damage and loss charges, delivery and setup, collection when someone leaves, end-of-term options and how invoicing works.
Does AppleCare+ cover a lost or stolen MacBook in India?
No. Apple's India terms for AppleCare+ for Mac exclude lost or stolen equipment. Ask every rental company how a lost device is charged.
How do I compare two rental quotes?
Compare the total over the term: rent for every month, the cost of holding the deposit, expected fees and the work each quote leaves with your team. Leave GST out if both suppliers give valid GST invoices, because it is recovered as input credit.
